How to Build a Scalable Data Collection Workflow with Visible
Getting structured, consistent updates from your portfolio companies is one of the most important — and often most painful — parts of investor operations. Whether you’re managing a growth-stage fund with dozens of companies or just getting organized as an early-stage firm, the ability to centralize performance data is critical to helping your team, your LPs, and your founders succeed.
That’s where Visible comes in. In this post, we’ll walk you through how to build a streamlined, scalable reporting workflow using Visible — one that gets you clean, structured data with minimal back-and-forth and maximum insight.
Step 1: Finalize Your Metrics and Properties
The foundation of any great data collection process in Visible is your data structure — that means defining the metrics and properties you want your portfolio companies to report on.
Metrics are time-series KPIs (e.g., Revenue, Burn, Runway).
Properties are qualitative fields that give context (e.g. Highlights, Lowlights, Asks)
As an investor, you have full control over what data you collect. You can tailor metrics and properties to your investment strategy or reporting needs. Once a company submits a request, their responses will be mapped automatically to these fields in your account.

Pro Tip: Start with a simple set of 10–15 key metrics and 3–5 properties. This gives you high-signal data without overwhelming your founders.
Step 2 (Optional but Recommended): Invite Companies to Visible
While founders don’t need a Visible account to complete your request (they can always fill it out via a secure link sent to their inbox), inviting them to create a free account unlocks some advantages:
They can view and refer to past data, so they’re not starting from scratch each time.
They can pre-fill requests with AI, saving time and improving accuracy.
They can save their request progress as a draft and come back at any time or collaborate with teammates as needed.
They can turn the same data into investor updates that can be used to nurture relationships with current and prospective investors.
They can update their metrics in Visible and then link them directly to investor requests. It’s faster, accurate, and lets them reuse their data across updates and dashboards.
In short, you make their life easier — and that makes them more likely to complete requests consistently.

Step 3: Create Your Request
Now it’s time to build your first request. Visible’s Request Builder lets you create fully customized, recurring (or one-time) forms that ask for exactly the metrics and properties you care about.

Best Practices:Most investors ask for data quarterly and request 10–15 metrics per company. This keeps the lift manageable for founders and gets you a strong dataset.We also see that investors achieve the highest response rates when they send ~5 notifications for the request. Typically there are two notifications prior to the request, one on the due date, and two after the due date.
Pro Tip for Your Portfolio Companies: If a founder is using Visible, they can leverage AI to auto-fill the request by uploading related files and then they can repurpose that data into an update for all their investors — saving hours of work.
Step 4: Supplement with the AI Inbox
Even with structured requests, founders will often send insights via email. Instead of letting those updates live in your inbox, use Visible’s AI Inbox.
Just forward an email to your unique AI inbox address, and Visible will:

We’ve reworked the investments feature in your portfolio view to provide enhanced flexibility and a more streamlined view.

To date, you've been able to track investments in Visible. Now, you can more easily associate investment transactions with rounds and track associated cash flows.
The updated investments experience makes room for these scenarios and gives you the flexibility to track them cleanly and accurately.
Increased Flexibility and Organized Tabs
We’ve introduced a new tabbed layout within each company profile so you can easily toggle between different categories of investment data:
Introducing Transactions Tab
Log any inflow or outflow related to a company (investments, exits, distributions, interest payments, dividends, and more). Each cashflow includes fields for the name, amount, date, type, description, and associated round (if applicable). A summary at the top makes it easy to see inflows and outflows.
You might receive interest payments as a company pays down debt
Distributions could be tied to performance thresholds or revenue share agreements
Rounds Tab
The rounds tab expands on what previously existed in Visible. Now, you can create a round and associate multiple transactions with the round in the event you invested out of multiple funds or acquired different share classes.
FMV Tab
The FMV tab consolidates how the value of your positions have changed over time, making it easy to understand the story of your investment performance.
Improved Investment Tracking Workflows
The new transaction tab will not only support additional new transaction types but also help improve workflows for tracking investment data.
When you log a new investment or exit, we’ll automatically create a corresponding cashflow entry to save you time, and you can always edit or override the details as needed. If a cash flow is tied to a round, we’ll pre-fill certain fields to make data entry easier, while still giving you control over things like the date (especially useful when the transaction date differs from the round close date).
You can also create custom transactions that aren’t tied to a specific round. Whether you’re receiving a one-off dividend or logging a revenue-based return, the process is quick and flexible.

With more complete transaction tracking, you can:

Shaping Our Future
Across our website and marketing assets, you’ll see 3D shapes floating in the background. While they add aesthetic appeal, they also carry a deeper meaning. For example:
We believe raising capital from VCs or LPs closely resembles a fundraising funnel, a concept brought to life through the funnel shape that appears across various pages and assets.
Sphere, torus, and pill shapes symbolize the connections between VCs, founders, and stakeholders, reflecting the interwoven nature of these relationships. These forms also symbolize forward momentum and the continuous progression within the venture ecosystem.
As our product has evolved to offer greater flexibility in moving data into and out of Visible, you'll notice pipes integrated into the design, visually representing the seamless flow of data through our platform.
Logo and Wordmark
To maintain and perpetuate our brand equity, we opted to anchor our brand to our current logo and wordmark. The Visible logomark is made from three overlapping, equilateral triangles. Each triangle is slightly transparent, allowing the mark to interact with other design elements. These triangles represent human relationships and the connection between founders and investors, which is core to our mission and vision for our company.
Color Palette
Our signature black primary color remains, but we've refined our palette for a fresh look. We've transitioned from a complex, rich color scheme to a more cohesive and defined palette, creating a unified and bold approach to color across our brand. Introducing the new Visible color palette:

We pride ourselves on building the most founder-friendly and frictionless tools on the market. We’re excited to announce three new ways we are changing the game for how founders can share data and report back to their investors.
Let’s take a step back for a moment. Founders are tasked with many roles. In addition to building a product, hiring top talent, and growing their business, founders must manage relationships with current and potential investors.
As an investor, collecting the data most useful to your firm can feel like a balancing act, as you need enough data for your LPs and your portfolio insights. However, great investors want to respect the founder's bandwidth and being overly burdensome.
Our recent set of Visible Request improvements has bridged the reporting gap and made sharing data with investors easier for founders. Check out three recent improvements to help make things easier for your founders below:
Pre-Fill Data Points With Known Data
Firms using Visible are getting portfolio company data into Visible in multiple ways, with requests, uploading historical data, and using the Visible AI Inbox. This means they already have data points in Visible for some portfolio companies when sending a Visible Request.
With pre-filling data points, you now have the option to allow founders to use existing data points when filling out a request. Founders will have a chance to review exisitng data and fill in any gaps.
View Historical Request Responses
When completing a Visible Request, it can be helpful for founders to have context of their previous responses.
For founders completing Visible Requests, they can now compare the current requests with their historical responses to help ensure they’re sharing the same information from request to request.
Autosaving Requests
Lastly, we now securely autosave partial completions when completing Visible Requests. Founders can also sign up for their free Visible account to save progress (cross-browser) and collaborate with their executives.

How is Visible addressing privacy and security with Visible AI Inbox?
No data submitted through the OpenAI API is used to train OpenAI models or improve OpenAI’s service offering.
Visible AI Inbox leverages OpenAI GPT 4 and proprietary prompts to extract data in a structured way and import it into Visible.
If you’re uncomfortable with utilizing OpenAI to optimize your account, you can choose not to utilize this feature. Please feel free to reach out to our team with any further questions.

Visualizing and analyzing portfolio data is an important part of taking portfolio monitoring seriously at any venture firm.
Visible makes this easy with four different dashboard types:

With this product update, investors can filter entire dashboards by a custom date range in addition to setting specific date ranges at the widget level. This streamlines the dashboard creation and maintenance process.
Automatically updated company highlights and lowlights
Investors can now request properties in Visible Requests and when companies submit their responses to qualitative questions, the property widgets are automatically updated on dashboards. This saves investors several steps in the process of making qualitative updates from their companies accessible to their wider team.
Editing properties inline on dashboards
This update lets investors quickly edit the property values displayed on portfolio company dashboards. Examples of properties commonly updated include:
